Booking Confirmation

A booking is considered confirmed only after Alpine Treks Nepal receives the required booking deposit or full payment, together with the necessary personal information required to process your reservation. A written confirmation will be issued once your booking has been successfully accepted.

The balance payment must be completed before the commencement of your trip unless an alternative payment arrangement has been confirmed in writing by Alpine Treks Nepal.

Prices and Payments

All prices published on our website are quoted in the applicable currency and are based on the costs effective at the time of publication. Prices may be revised before booking confirmation due to changes in government taxes, permit fees, transportation costs, exchange rates, or other operational expenses.

Any bank charges, international transfer fees, credit card processing fees, or currency conversion costs are the responsibility of the client.

Passport, Visa and Travel Documents

Every traveler is solely responsible for obtaining and carrying a valid passport, the appropriate entry visa for Nepal, and any additional travel documents required for their journey.

Your passport should remain valid for at least six months beyond your planned departure date. Any delay, cancellation, or additional expense resulting from incomplete or incorrect travel documentation shall be the sole responsibility of the traveler.

Government Permits

Many trekking, climbing, and adventure activities in Nepal require permits issued by the relevant government authorities. Depending on your itinerary, these may include national park entry permits, conservation area permits, restricted area permits, climbing permits, or other legally required travel documents.

Alpine Treks Nepal will assist with the permit application process; however, clients are responsible for providing accurate personal information and supporting documents within the required timeframe.

Health, Fitness and Travel Insurance

Adventure travel in the Himalayas involves physical exertion, high altitude, changing weather conditions, and remote environments. Travelers are responsible for selecting a trip appropriate to their physical condition and previous experience.

Clients should disclose any existing medical conditions before departure that may affect their participation.

Comprehensive travel insurance covering emergency medical treatment, helicopter evacuation, high-altitude rescue, personal accidents, trip interruption, trip cancellation, and baggage loss is strongly recommended and may be mandatory for certain expeditions.

Itinerary Changes

Every itinerary published on our website is prepared in good faith; however, mountain travel is inherently unpredictable.

Alpine Treks Nepal reserves the right to modify or adjust itineraries when necessary due to weather conditions, flight delays, road closures, natural disasters, government regulations, health emergencies, safety concerns, or any circumstances beyond our reasonable control.

Any changes will always be made with the safety, security, and best interests of our clients as the highest priority.

Cancellation Policy

All cancellation requests must be submitted in writing.

Refunds, where applicable, will be calculated after deducting non-refundable government permit fees, hotel reservations, transportation bookings, administrative expenses, and other costs already incurred on behalf of the client.

Certain services arranged through third-party providers may also be subject to their individual cancellation policies.

Client Responsibilities

All travelers are expected to conduct themselves responsibly throughout the journey.

Clients agree to:

Follow the instructions of guides and expedition leaders.
Respect the local culture, customs, traditions, and religious heritage.
Comply with the laws and regulations of Nepal.
Protect the natural environment by following responsible tourism practices.
Treat fellow travelers, local communities, and staff with courtesy and respect.

Failure to comply with safety instructions or engaging in illegal, dangerous, or disruptive behavior may result in removal from the trip without compensation.
